JOB DESCRIPTION
1. Delivery and Project Management
Take end-to-end responsibility for the delivery of IT outsourcing projects for Japanese clients.
Manage the entire project lifecycle, including scope, schedule, cost, quality, resources, and risks.
Develop project plans, assign tasks, monitor progress, and coordinate offshore teams in Vietnam.
Ensure that deliverables meet requirements, quality standards, SLAs, and the expectations of Japanese clients.
Proactively identify, analyze, and resolve issues, risks, change requests, and escalations throughout project execution.
Manage project budgets, effort, and costs while ensuring that the approved margin targets are achieved.
Organize reviews, retrospectives, and continuous improvement activities to enhance delivery effectiveness.
2. Liaison Between Japanese Clients and Offshore Teams
Act as the primary point of contact between Japanese clients and development teams in Vietnam.
Receive, analyze, clarify, and accurately communicate business requirements, technical requirements, and acceptance criteria.
Translate or support the translation of project documents, meeting minutes, requirement specifications, reports, and other communications between Vietnamese and Japanese.
Coordinate regular meetings with clients, prepare agendas and progress reports, and follow up on action items after meetings.
Manage expectations and address differences in communication styles and working methods between Japanese clients and Vietnamese teams.
Ensure that information is communicated fully, promptly, and consistently among all relevant stakeholders.
3. Requirements Analysis and Technical Coordination
Work with clients to gather and analyze requirements related to software development, system maintenance, and system integration.
Coordinate with Technical Leads, Solution Architects, and development teams to assess feasibility and propose appropriate solutions.
Review requirement documents, design documents, test plans, and deployment plans before discussing them with or submitting them to clients.
Support technical teams in correctly understanding the business context, quality standards, and acceptance processes of Japanese clients.
Manage requirement changes and assess their impact on project scope, schedule, cost, and resources.
Ensure traceability across requirements, design, development, testing, and acceptance.
4. Presales and Account Development
Participate in requirement clarification, RFP/RFI analysis, and proposal development for Japanese clients.
Coordinate with technical teams to estimate effort, resources, schedules, and implementation costs.
Present solutions, delivery models, and project plans in Japanese.
Support negotiations regarding scope of work, acceptance conditions, SLAs, and resource plans.
Work with Sales and Account Managers to maintain client relationships, identify new business needs, and expand accounts.
Ensure a complete handover from presales to delivery and support project kick-off activities.
5. Stakeholder Management and Reporting
Build and maintain trusted, long-term relationships with Japanese clients and partners.
Communicate effectively with clients, senior management, project teams, and relevant internal departments.
Prepare project progress, quality, resource, financial, and risk reports in Japanese or Vietnamese as required.
Lead conflict resolution, manage stakeholder expectations, and propose appropriate solutions for all parties involved.
Promptly escalate critical issues and take responsibility for following them through to resolution.
6. Onsite Work and Business Travel
Be willing to work onsite at client offices when required.
Be available for short-term or long-term business travel or assignments in Japan, depending on project needs.
Support onsite activities, assessments, project kick-offs, and knowledge transfer between Japanese clients and offshore teams in Vietnam.
REQUIREMENTS
At least 5 years of experience in the IT industry, including a minimum of 3 years in a Project Manager, Bridge System Engineer (BrSE), Delivery Manager, or equivalent role.
Experience managing software development, system maintenance, or system integration projects for Japanese clients.
Experience managing teams of 10 or more members and/or managing multiple projects simultaneously.
Practical experience with IT outsourcing, offshore development, bodyshop, or ITO delivery models.
Ability to gather, analyze, clarify, and manage requirements in Japanese.
Strong technical foundation in software development and a solid understanding of the Software Development Life Cycle (SDLC).
Experience managing project scope, schedule, quality, resources, budget, and risks.
Understanding of project management methodologies such as Agile/Scrum and Waterfall, with the ability to select and tailor an appropriate approach for each client.
Ability to prepare professional documents, reports, and presentations for Japanese clients.
Strong leadership, communication, negotiation, conflict resolution, and problem-solving skills.
Japanese — Mandatory:** JLPT N1 or equivalent proficiency, with the ability to communicate, conduct meetings, negotiate, deliver presentations, and prepare project documentation effectively.
Ability to accurately communicate business and technical information between Japanese and Vietnamese.
English:** Ability to read technical documents and communicate in a professional working environment is an advantage.
Preferred Qualifications / Advantages
Previous experience living, studying, or working in Japan.
Strong understanding of Japanese business culture, decision-making processes, and client quality standards.
Experience working in a System Integrator, IT Consulting, or offshore development company serving the Japanese market.
Experience in presales, proposal development, estimation, and client account development.
Experience in recruiting and evaluating technical personnel.
PMP, PMI-ACP, Scrum Master, or equivalent project management certification.
Knowledge of or experience in Cloud, ERP, MES, Retail, AI/Data, or Cybersecurity.
